Summary:Approving a purchase with Avidex Industries, LLC for a complete audio-visual (AV) refresh of the Lewis County BOCC Hearing Room at 345 W Main Street, Chehalis. Avidex is an awarded integration partner under Washington State Department of Enterprise Services (DES) Contract No. 00224 for Audio-Visual Solutions, a statewide cooperative purchasing contract that allows public agencies to purchase AV technology and services without conducting their own competitive solicitation.
The Hearing Room's existing AV system supports Zoom-based public meetings, official audio recording via FTR, and live streaming, but experiences frequent technical issues and relies on aging cameras and audio DSP. The refresh modernizes the system around a dedicated Zoom Room, a modern DSP platform, and a limited three-camera configuration, while reusing existing wireless microphones and displays where possible, to deliver a durable, reliable, and easy-to-operate public meeting environment. The proposal also includes a three-year Essential Service Plan for ongoing support.

AUTHORIZE DIRECTOR OF INFORMATION TECHNOLOGY SERVICES TO EXECUTE A PURCHASE ORDER WITH AVIDEX INDUSTRIES LLC USING THE STATE DES CONTRACT
WHEREAS, Lewis County Information Technology Services is responsible for recommending and implementing appropriate technology solutions for Lewis County; and
WHEREAS, the Lewis County Board of County Commissioners Hearing Room requires an updated and modernized audio-visual system to support reliable public meetings, official audio recording via FTR and live streaming; and
WHEREAS, as a local governmental agency, Lewis County has the ability to purchase these products and services at a discounted rate through the Washington State Department of Enterprise Services (DES) cooperative purchasing program. Washington State DES Contract No. 00224 for Audio-Visual Solutions, awarded to Avidex Industries LLC; and
WHEREAS, the Board of County Commissioners (BOCC) has granted department directors the authority to bind the county in amounts totaling $50,000 to $200,000 with BOCC approval, as outlined in Resolution 21-038.
NOW THEREFORE BE IT RESOLVED the Board of County Commissioners hereby authorizes the Director of Information Technology Services, or his designee, to complete a purchase order and execute an agreement, pursuant to the attached proposal (Avidex Proposal No. 100260113, dated May 5, 2026), with Avidex Industries, LLC, in an amount not to exceed $51,664.89 (which includes a three-year Essential Service Plan), that is in excess of the above-mentioned $50,000 limitation, utilizing Capital Maintenance Fund 3010.
